On the jobWhere the time goes

Four places this work leaks time and money.

01

The phone is the booking system

Reception spends the morning booking, rebooking and confirming by phone. No-shows leave gaps a reminder would have filled, and the waitlist lives on a sticky note beside the monitor.

02

Intake on clipboards and emailed PDFs

New patients fill in paper forms in the waiting room or email scanned PDFs to a shared inbox. Staff retype them into the chart, and the attachments sit in that inbox for years.

03

IT run by whoever is least busy

The front desk computer, label printer, fax and Wi-Fi are looked after by a staff member or someone's relative. Passwords are shared, and nobody knows whether last night's backup actually worked.

04

Unsure which privacy rules apply

A physician-owned clinic, a physiotherapy practice and a massage studio can sit under different Alberta privacy laws. Owners are unsure what a new booking or AI tool requires before they switch it on.

The systemsBuilt to order

What we build for this sector.

01

Clinic website with online booking

A fast site listing practitioners, services and direct billing, with booking by practitioner, visit type and length. Reminders go out by email and text with confirm and cancel links, and freed slots are offered to the waitlist. We connect your practice software where it allows.

Websites band: $4,500 – $12,000
02

Secure intake, consent and patient messages

Intake and consent forms that change with the visit type and ask only what the practitioner needs. Submissions are encrypted, stored in a system we host in Canada for your clinic and reviewed by staff, never emailed as attachments.

Software band: $18,000 – $50,000
03

Managed IT support

Front desk and exam-room computers, printers, fax, a guest Wi-Fi kept apart from the clinic network, and Microsoft 365 accounts with multi-factor sign-in. Access changes the day staff join or leave, and we deal with your practice software vendor for you.

Ongoing care: from $300/month
04

Backups and a security review

Encrypted backups kept away from the clinic and test-restored on a schedule, plus a review of accounts, devices, remote access and staff habits. You get a short list of fixes in priority order and a plan for a bad day.

Security review: from $1,800
05

Admin AI kept away from the chart

AI for the front desk's paperwork, never clinical decisions: sorting general enquiries, drafting replies about hours, parking and billing, and summarising supplier documents. Identifying health information stays out, and a staff member approves anything sent to a patient.

AI automation: from $3,500 per workflow

Health Information Act, PIPA and privacy impact assessments

Alberta's Health Information Act (HIA) applies to health information custodians, such as physicians and other regulated health professionals named in its regulations, and governs how they collect, use, disclose and protect health information. Many practices outside the HIA fall under PIPA. A custodian can be required to submit a privacy impact assessment to the Office of the Information and Privacy Commissioner of Alberta before a new system goes live. We document our systems so that work goes faster. This is general information, not legal advice.

  • Confirm early whether the HIA or PIPA applies to your practice
  • Technical detail to support a privacy impact assessment
  • Client systems hosted in Canada with access logging
  • No identifying health information in general AI tools

In detail

What does IT for a small medical clinic include?

For a small clinic it means the computers, accounts, printers, fax, Wi-Fi and backups work every morning, someone answers when they do not, and staff access changes the day someone joins or leaves. Our managed IT support starts from $300 per month, and you can cancel anytime.

Clinics have quirks general office IT misses. The label printer has to talk to the practice software, referrals still arrive by fax, exam-room screens need short locks, and patient Wi-Fi must never touch the clinic network. Practice software vendors support their own product and little around it. We look after everything around it and call the vendor for you when the fault is theirs.

Online booking and reminders that free up reception

Online booking works when it follows your real rules: which practitioner sees which visit types, how long each takes, which room or equipment it needs and how much notice you want. Patients book on your clinic website, reminders go out by email and text, and cancellations offer the slot to the waitlist.

Where your practice software already has a booking module, we connect it to the site properly rather than replacing it. Reminders carry the date, time, location and how to cancel, with no reason for the visit in the message. Newsletters and promotions are commercial messages that need consent under CASL, so we keep those lists apart from reminders.

Secure intake forms instead of clipboards and email

Secure intake means patients complete forms before the visit on a page that encrypts what they send, the data is stored in a system we build for your clinic and host in Canada, and staff review it before it reaches the chart. Nothing travels as an email attachment or waits in a shared inbox.

Forms change with the visit: a new physiotherapy patient sees injury history and insurer details, a returning patient confirms what has changed. We ask only for what the practitioner needs, set how long submissions are kept, and log who opened them. A small portal with intake, consent and secure messages is custom software in our $18,000 – $50,000 band.

Does the Health Information Act apply to my clinic?

It depends on who you are. The Health Information Act applies to health information custodians, such as physicians and other regulated health professionals named in its regulations, while many other private practices fall under PIPA. Some deal with both. Confirm with your professional college or a privacy lawyer; this is not legal advice.

For custodians, a new system that collects or uses identifying health information can require a privacy impact assessment, submitted to the Office of the Information and Privacy Commissioner of Alberta before it goes live. We do not write the assessment, but we document data flows, storage location, access controls and retention so the person who does has accurate answers. Alberta Health Services is headquartered in Edmonton, and clinic systems often exchange referrals and results with it and other providers, so how data moves deserves the same care as where it sits.

Can a clinic use AI safely with patient information?

Safely means keeping identifying health information out of general AI tools entirely and using AI for the clinic's administrative work instead: sorting general enquiries, drafting replies about hours or billing, and summarising long supplier documents. Anything touching patient records needs the custodian's decision, a documented assessment and a provider agreement first.

In practice, safe use looks like this:

  • Staff are told in writing which AI tools are approved and what may never be pasted into them.
  • Each AI step is documented: what data it sees, which provider runs it and in which region. Models come from a major model provider, and some process requests outside Canada.
  • Provider settings keep clinic data out of public model training, where the provider offers that control.
  • A person approves every message before it reaches a patient, and no AI step writes into the chart.

Our AI automation for clinics starts from $3,500 per workflow and stays on the administrative side of the desk.

Backups and security for a small practice

A clinic backup is only real once it has been restored. We set up encrypted backups kept away from the clinic, test a restore on a schedule, turn on multi-factor sign-in for every account, and write a one-page plan for what staff do if ransomware locks a computer or a laptop goes missing.

A security review from $1,800 gives you a prioritised list of fixes in one to two weeks. Deeper attack testing and round-the-clock monitoring are specialist services, and we will refer you to one when your risk calls for it.

How much does clinic IT cost in Edmonton?

Managed IT support starts from $300 per month. A clinic website with online booking runs $4,500 – $12,000 over four to six weeks, a security review starts from $1,800, and a secure intake portal sits in the $18,000 – $50,000 software band. Each is fixed-quoted first, and the full list is on our pricing page.

Questions6 straight answers

Asked before they write.

Do you work with physiotherapy, chiropractic and dental clinics?

Yes. Our clinic work covers small medical clinics and allied-health practices, including physiotherapy, chiropractic, massage therapy, dental, optometry and counselling offices. The privacy rules can differ by profession and by how a service is funded, so we confirm early which apply to you and shape booking, intake and IT around that.

How much does IT support for a small clinic cost?

Managed IT support starts from $300 per month, and you can cancel anytime. The price depends on the number of staff, computers and locations. A security review, from $1,800, is a sensible first step if nobody has looked at accounts, backups and remote access for a while. You get a fixed quote before anything starts.

Can you replace our practice management software or EMR?

No, and for most clinics we would advise against it. Practice and EMR systems carry clinical features, billing rules and vendor support that should not be rebuilt. We work around them instead: booking on your website, intake and messaging that feed them, IT that keeps them running, and reports from the data they export where the vendor allows.

Is patient data hosted in Canada?

For the booking, intake and messaging systems we build and host for your clinic, yes: data is stored on Canadian infrastructure, with access logging and a retention period you approve. Tools you already use, such as your practice software or email, follow their own hosting terms, and we tell you what we find when we review them.

Do we need a privacy impact assessment for a new booking system?

If you are a custodian under the Health Information Act and the system collects or uses identifying health information, one can be required before it goes live. Your privacy officer or lawyer makes that call. We supply the technical detail an assessment needs: data flows, hosting location, access controls, retention and every vendor involved.

What is not included in clinic IT support?

We do not support clinical software internals, medical devices, deeper attack testing or round-the-clock security monitoring, and we do not act as your privacy officer. Hardware, software licences and your practice system subscription are paid directly by you. We spell this out in the quote so nothing is assumed and argued about later.
