Business automation for Alberta companies, one workflow at a time

Business automation for Alberta companies that are tired of re-keying the same information: quoting to invoicing, enquiries to CRM, scheduling and reporting. We connect the tools you already use, one workflow at a time, from $2,500.

  • Owners whose staff copy data between systems
  • Offices that quote in one tool and invoice in another
  • Teams that dread the month-end report

The problemWhat it costs you

What usually brings people here.

01

The same data typed three times

A job is quoted in one place, scheduled in another and invoiced in a third. Each handover is someone retyping details, and each retype is a chance for a wrong number.

02

Enquiries sit in an inbox

New leads arrive by form, email and phone, then wait until someone copies them into the CRM. Follow-up depends on who remembers, and some leads quietly go cold.

03

Reports that take a day to build

Every month, someone exports from three systems, pastes into a spreadsheet and fixes the formulas. The numbers arrive late and nobody fully trusts them. It is slow, and a bad formula goes unnoticed.

The outcomeWhat changes

What you have when we are done.

01

Quotes that become invoices

An accepted quote creates the job and, when the work is done, the invoice. Nobody retypes line items, and the figure the customer agreed to is the figure they are billed.

02

Enquiries logged the moment they arrive

Form submissions and emails create CRM records, assign an owner and send a confirmation. The follow-up task exists before anyone has opened the inbox. Nothing waits on a person.

03

Reports that build themselves

Figures flow from the source systems into one report on a schedule. You open it, rather than assemble it, and you can trace any number back to where it came from.

04

Fewer errors and less rework

When data moves by rule instead of by hand, typos and missed steps drop. Staff spend their hours on customers and jobs rather than on copying between screens.

The workIncluded, and how it runs

What is included.

  • Workflow mapping and time-cost estimate
  • Automated quote-to-invoice workflow
  • Web form to CRM integration
  • Scheduling and reminder automation
  • Scheduled reporting from your systems
  • Connections between your existing tools
  • Error alerts when a step fails
  • Exception handling for unusual cases
  • Written runbook for each workflow
  • Documented handover and access

How it runs.

  1. 01

    Discover

We watch the workflow as it runs today and count the steps, handovers and minutes. We then pick the ones worth automating, which is usually fewer than you expect.

  2. 02

    Design

We draw the automated flow, including what happens when data is missing or a step fails. You approve the rules and the exceptions before anything is built.

  3. 03

    Build

We connect your tools, build the logic, and test with real records in a safe environment. Each workflow takes 2 to 4 weeks, depending on how many systems it touches.

  4. 04

    Launch

We switch the workflow on alongside the manual process for a short period, compare results, and then retire the manual steps. The rollback plan is written first.

  5. 05

    Optimise

We monitor for failures and review the first month of results. If a rule needs adjusting because the business changed, we change it and update the runbook.

In detail

Business automation in Alberta that removes the busywork

In practice, business automation is mostly unglamorous work. A quote turns into an invoice without anyone retyping it, a web enquiry lands in your CRM with an owner, and the monthly report exists when you sit down. We build these workflows one at a time, from $2,500 each, in two to four weeks.

The price for each workflow is fixed before we start, and you are never committed to more than the one you have approved.

How is business automation different from AI automation?

Business automation follows rules you can write down, such as copying an accepted quote into your accounting software. It moves structured data between tools you already own. AI automation handles unstructured input, like reading an email or a scanned document and deciding what it says. Rules cost less and behave the same way every time.

OptionBest forCost range
Business automationStructured data moving between your tools by fixed rulesFrom $2,500 per workflow, 2–4 weeks
AI automationEmails, documents and free-text requests a person reads todayFrom $3,500 per workflow, 2–6 weeks
Custom softwareProcesses your current tools cannot hold at all$18,000 – $50,000, 8–16 weeks

The two often meet. An AI step might pull the totals off a supplier invoice, then a rule-based workflow files those totals in your accounting software. AI steps run on a major model provider's service, and some providers process requests outside Canada, so we name the provider and region for each one. Rule-based workflows send nothing to a model.

Which workflows are worth automating first?

Automate the tasks that happen often, take time and cost money when they go wrong. A daily twenty-minute job that sometimes produces a wrong invoice is a strong candidate. A task done twice a year is not, and we will tell you to leave it alone. We measure the current effort during Discover, so the choice rests on numbers.

Quoting to invoicing

Details are typed into a quote, again into a job sheet and again into an invoice. We connect those steps. When a customer accepts a quote, the job is created with the agreed line items. When the job is marked complete, a draft invoice waits in your accounting software, such as QuickBooks, for a person to approve.

Enquiry to follow-up

Website forms and booking requests feed one place. Each enquiry gets an owner, a confirmation message and a follow-up reminder, so nothing waits for someone to copy and paste.

Scheduling and reminders

Confirmed jobs appear on crew calendars and customers receive reminders. A cancellation frees the slot and tells the right person, so the gap is filled rather than discovered that morning.

Scheduled reports

Figures come straight from the source systems on a schedule, so each number traces back to its record. Anything beyond a scheduled export, such as live dashboards in Power BI, sits with our data analytics and reporting work.

Integrate the systems you already own

You rarely need new software to connect your systems. Most business tools, from Microsoft 365 to QuickBooks and common CRMs, offer a documented way to exchange data, and connecting them costs less than replacing them. Where a tool offers no connection, we say so before quoting, and the options are usually a different tool or a small custom piece.

If your needs grow past a handful of workflows, a custom operational system may be the better investment, and we will tell you when we think so.

What does a workflow project include?

Each workflow is a small project with its own fixed price. We map it, agree the rules and exceptions with you, build and test it with real records, then run it alongside your manual process until the results match. Every workflow ships with failure alerts, a way to handle odd cases by hand and a written runbook.

A person still approves anything that matters, such as an invoice before it goes out. Where personal information passes through a workflow, we keep it on Canadian infrastructure where we control the hosting choice, and document it to support your Alberta PIPA obligations. This is general information, not legal advice. You own the result.

Questions6 straight answers

Asked before they write.

How much does business automation cost?

Automation starts from $2,500 CAD per workflow, with a typical build taking 2 to 4 weeks. A simple form-to-CRM flow sits near the bottom of that range, and a multi-system process such as quote-to-invoice costs more. You receive a fixed quote first.

Which processes are best to automate first?

Start with tasks that happen often, take real time and carry a cost when they go wrong. Quoting to invoicing, enquiry intake and recurring reports are common first picks. We will measure the current effort during Discover so the choice rests on numbers.

Do we need to replace our current software?

Usually not. We connect the tools you already use, as long as they offer a documented way to exchange data. We check each one before quoting. If one cannot be connected, we explain the options before you spend anything. Replacement is a last resort.

What happens if an automated step fails?

The workflow raises an alert, holds the affected record and does not push bad data downstream. A person can then fix and resend it. We build in these failure paths and describe them in the runbook we hand over. Nothing is silently dropped.

Is automation different from custom software?

Yes. Automation connects tools you already use, one workflow at a time. Custom software replaces or extends the tools themselves. Many companies start with automation, and move to custom software only if the workflows outgrow what their existing tools can do.

Will automation replace my staff?

That is not what we build for. These projects remove copying, chasing and reformatting, so people spend time on customers and jobs. A person still reviews anything that matters, such as invoices before they go out. The work stays with your team.
